Booking Terms with African Vacation Safaris

OVERALL

Safari holidays in Uganda, Tanzania, Rwanda, Kenya, Congo, Zimbabwe, Zambia, Mozambique, Botswana, Namibia and South Africa are among the destinations we arrange. Because they outline our individual responsibilities and serve as the foundation for your agreement with African Vacation Safaris LTD, please carefully read these terms and conditions. “We” and “us” refer to African Vacation Safaris LTD, and “you” refers to all individuals listed on the reservation, including those who are added or replaced at a later time.

These terms are subject to change based on evolving circumstances; the terms in effect at the time of booking are the ones that apply. Africa’s conditions differ from those of industrialized nations, and the quality of services, healthcare, safety, and security may frequently be inferior to those in your native country. Please be aware that your vacation plans are subject to the rules and regulations of the nation where the services are rendered, not those of your own country.

 LODGING

We use classy and distinctive hotels, lodges, and camps that are appealing and have nice amenities, hot water, welcoming personnel, and affordable rates. We ask all of our customers to let us know in advance if they have any dietary needs. We retain the right to change your reservation to a better or comparable hotel.

COMPLAINTS

You should notify the supplier and the safari manager right away if you have any complaints. They’ll try their hardest to assist you. If you’re not happy, you should report the incident in writing to the manager or supplier as soon as you can, but no later than 30 days after your vacation, safari, or tour is over. This will enable us to conduct a thorough investigation. Regretfully, complaints that are not reported in compliance with this process will not be accepted.

 INFORMATION ACCURACY

Based on the most up-to-date information available, we provide accurate information, descriptions, and opinions about itineraries, national parks, gorilla permits, animal sightings, lodging, and security. Every effort has been made to guarantee that the information is accurate. Any errors or omissions brought on by circumstances beyond our control are not our responsibility.

MAJEURE FORCE

We regret that we are unable to provide compensation in cases where an incident that neither we nor the service provider in question could have reasonably predicted or prevented, even with the utmost care, interferes with our ability to perform our duties. War, terrorism, riots, civil unrest, natural disasters, border closures, industrial conflicts, fire, road closures, theft, epidemics, quarantines, air and land travel, extreme weather, and other similar incidents that are beyond our control are examples of such events.
Certain activities have an inherent risk of personal injury, depending on the itinerary you have chosen. Gorilla trekking, white water rafting, tracking chimpanzees, walking excursions, canoe or boat rides, and mountaineering are some of these activities. You must realize, nonetheless, that engaging in the aforementioned actions will put you at your own risk, and we do not take any liability for your security.

GORILLA PERMITS

Gorilla tracking permits can be obtained as soon as payment is received. Obtaining a gorilla permit does not ensure that you will see a gorilla. But there’s a 99 percent possibility of seeing them. At short notice, access to the gorillas may be impossible due to local conditions. We cannot be held responsible for any situation that could force gorilla viewing to be canceled, including border or National Park closures, gorilla absences, or security adjustments. We are not liable for refunds, which are at the discretion of the appropriate authority. We will make every effort to secure a refund, and if the appropriate authorities grant one, we will transfer the funds to the customer.

CASH PAYMENT

You agree to our terms and conditions when you book your safari and pay the deposit, which is typically 40% of the total cost, including gorilla permit fees and any necessary bookings. However, depending on the travel period and current conditions, you may need to pay a higher percentage. During high/peak season, when reservations must be made well in advance, you could have to pay 50% of the total cost, particularly for accommodations and gorilla and chimpanzee permits. Before the safari begins, the remaining amount must be paid. Please be aware that reservations booked less than a week before to travel must be paid in full.

Insurance

It is mandatory to arrange for relevant and effective personal travel insurance when booking your vacation. Participants in such demanding travel programs are discouraged if they have heart disease, a chronic illness, a physical disability, are pregnant, or have a mental ailment that prevents them from traveling great distances. Death, injury, personal property theft, and medical costs should all be covered by the insurance. Activities with higher danger, like mountaineering and white-water rafting, should be covered.

BAGGAGE

The passenger is responsible for the safety of all personal items and luggage.

National Parks

The collection of any specimen from the natural world is strictly condemned by us. Our excursions offer the opportunity to see and take pictures of wildlife without disturbing it.

Taking Touring Photographs

We retain the right to photograph each participant in order to utilize them in our safaris’ commercial advertising. At the beginning of the trip, any tour participant or leader who does not want their photo to be used is asked to identify themselves to the tour guide.

WHAT OUR SAFARI PRICES INCLUDE

PLEASE NOTE:

Any activities that the client adds that are not on the original schedule that African Vacation Safaris LTD provided will incur additional fees that the client is responsible for paying.
All lodging, all ground transportation in private 4 x 4 safari vehicles, the gorilla permit ($700) and chimpanzee tracking permit ($200) are included in our safari prices. English-speaking, full-time, seasoned safari guide and related costs, every meal (with the exception of those marked B&B), snacks and water in the car, National Park entrance fees, ranger guide fees, tracking chimpanzees, boat/canoe trips, and any relevant taxes and administrative charges. International flights, personal items like as drinks, laundry, phones, souvenirs, visa fees, porters on the gorilla hike, travel and medical insurance, tips for the guide, driver, and hotel staff, and any other extras not listed in the itinerary are all excluded. We charge full board for our safaris.
In the event of unforeseen circumstances, like as inclement weather, road closures, or security concerns, the organization retains the right to alter the safari services that were agreed upon with the client. Option arrangements will be made in these situations as circumstances allow.

AFTER YOU CANCEL

You must provide us written notice if you must cancel the safari. Until we get a copy of your written notice, a cancellation is ineffective. The following cancellation costs will be assessed per person to reflect our expected loss due to your cancellation and the possibility that we won’t be able to resell your vacation:

*Time frame prior to departure Cancellation fee (when applicable, expressed as a percentage of the total tour cost)

25% fee if 60 days or more before arrival
50% of the total amount due 59–32 days before arrival
There is a 75% charge from 31 to 8 days before arrival.
100% fee from 7 days up to your arrival date

*Otherwise, there will be no reimbursement if you decide to end your safari before it has begun and you don’t give us time to address the issue.

 
AFTER WE CANCEL

We frequently have to cancel confirmed reservations. We must reserve the right to cancel, even though we always attempt to avoid doing so. Unless we are compelled to do so owing to unforeseen and extraordinary circumstances beyond our control, the consequences of which we could not have prevented even with all reasonable care, we will not cancel your confirmed vacation less than 60 days before to departure. If your vacation is canceled (apart from cases where you haven’t paid or due to a natural disaster), you will have the option to buy another vacation from us that is comparable in quality to the one you initially reserved, if one is available. We will reimburse the difference if the selected option is less costly than your first vacation; if it is more costly, we will request payment. Alternatively, you are eligible for a complete reimbursement of all the money you have given us, with the exception of the money you paid for gorilla permits, which can only be reimbursed provided we have access to the refund. Except in cases when we cancel for reasons not covered in this section, you won’t be charged more. We apologize that we are unable to cover any costs or damages brought on by a cancellation.
Please be aware that cancellation fees are calculated starting on the day African Vacation Safaris LTD receives your written notice.


CHARITABLE EXECUTION

By sending a deposit to African Vacation Safaris LTD, I attest that I have read and comprehended the terms and conditions, including those pertaining to liability limitations, cancellation and refund procedures, and trip participant responsibilities. When a deposit is advanced to African Vacation Safaris LTD, the depositor, their family, and the recipient
